We are excited to announce that we are going paperless by introducing a custom made cloud based office operating system called Omnia.
Omnia will promote an easier, more efficient working environment for Simply Shutters personnel, that in turn will help us provide a better service to our customers.
The centralised database will allow staff members to easily locate customer’s records and respond to any client query quickly and efficiently, minimising delays that otherwise might occur if other team members need to be consulted.
We have created our very own Omnia logo and utilised the image of a world within an eye to represent Omnia as a full purpose portal which, over time, will develop with the business. It will be the ‘go to’ programme to complete any function and, being fully integrated, will save time by cutting out repetition. For example, once client details are entered, multiple orders can be added, Invoices created and carrier bookings made all with the click of a button.
Simply Shutters has always been an environmentally aware company and we endeavour to minimise any harmful impact upon the environment. The Omnia operating system will assist in this goal by cutting down on the amount of paper being used.
Whilst we have not quite transitioned into a completely paperless environment, the amount of paper we do use has dropped by over 75%. Not only can we now complete every day administrative tasks without the use of paper, as Omnia offers a function where you can make notes directly onto the database, jotting details down on paper is virtually non-existent. This means that all customer details are handled with the highest level of security and care.
Company co-director Paul Millar says “We are extremely excited about the Omnia operating system as it enables us to offer a more efficient response to our clients and potential clients. As the company has grown over the years, the volume of calls and email enquiries has grown in equal measure so having an operating system like Omnia became more and more a necessity”.
Omnia was created by Craft ITC of Norfolk and customised to deliver on our specific database needs. We decided to work with Craft ICT as we had an existing IT association with them and were aware of the work they did. Having also spoken to some of their existing customers and viewed some of their previous work we were able to make an informed decision. One of the main challenges when first introducing Omnia to the office was getting used to the new way of working. As we have been in business for over 15 years now we have become accustomed to working a certain way. Introducing Omnia didn’t just mean we could complete tasks without the use of paper but that we’d need to get used to working in a different way. These new processes had to be followed by all members of staff to ensure that Omnia was beneficial for all users. Since inception everybody has a better understanding of and have found this new of working to be more efficient.
